Are you running out of storage and need cloud backup space for archival? Or need a folder management strategy.

Never store anything directly in domain folders. Always pass through Inbox. Keep It Simple Rule -> Put it in Inbox, Decide later.
So your workflow becomes:
Capture → goes to Inbox
Process → move to Active / Ideas / Archive
Work → from Active
Finish → move to Archive
Once a week (20–30 min):
Empty Inbox
Move things to correct places
Delete useless stuff
Rename messy files
Promote good ideas → Active
This prevents buildup — the real enemy.
You might also require project based layers for bigger projects.

@Boeing You have creative + physical + philosophical overlap and you enter deep focus states, so you resist rigid categorization in the moment. So keep Inbox as ONE open dumping ground. Single Inbox (raw, chaotic) and structured downstream (Active / Ideas / Archive).
Why a Single Inbox is Better (for you):
When you’re in flow:
Even a small decision like “Art or Writing?” breaks momentum
Categorizing = switching brain modes (creative → administrative)
That friction is what causes backlog later.
No folders. No thinking.
This way you are choosing Zero friction during creation in exchange for Slightly heavier weekly processing, This is the right trade for creative + multi-domain work. 👍
Weekly Processing Ritual (Non-negotiable):
Open Inbox
For each item, decide:
Is it usable now → Active
Is it future → Ideas
Is it done/reference → Archive
Is it useless → delete
Don’t overthink. First instinct wins.
When processing Inbox:
You are NOT creating. You are NOT refining. You are just sorting. Think like a librarian, not an artist.
Tip:
If Inbox gets chaotic, you can add soft markers instead of folders:
Example filenames:
art_sketch_idea.jpg
train_breath_notes.txt
write_discipline_thought.md
Still one folder, but easier to scan..
Capture like an artist. Organize like a machine.

Pencil and paper and map it out first... You'll see what works best that way

@Convivial 🙏🏼💙 I always use pencil and paper and thank you for mentioning it because it is part of the Chaos. So I have some things written here and some things written there and some in this app and some in my phone's notes. Some notes are taken by photos, and some by paintings and some by random songs recording on random places and voice notes. Crazy artist.
I will take it seriously this time and take serious time to figure a system to structure them all, and make sure to be sending them all to one place, as ABCDEF have suggested.
Thank you for pointing me towards all the random places I need to look at!

Keep it simple as possible - - and on your desktop in main categories - starting with one then two or three =
1)My Work
2) Information for future
Work:
Art - subsets writing, drawing, painting
Writing - poems, ramblings, essays...
Info:
Articles, Books, Sayings...
ETC....
